Welcome to SmartPics! Follow these five simple steps to get your client-based business organized and ready to grow. By the end of this guide, you'll have everything set up to start transforming how you manage your client work.
Step 1: Complete Your Business Profile
After creating your account, your first priority should be setting up your business information in the Settings menu.
What to add:
- Your business name
- Website address
- Phone number
- Social media handles (Instagram, Facebook, etc.)
Why this matters: This information automatically gets included whenever you share content with clients or on social media, turning every share into a marketing opportunity for your business.
How to do it:
- Tap the menu icon (three lines) in the top left
- Go to Settings
- Fill out your business details
- Save your changes
Step 2: Create Your First Client Collection
Collections are the heart of SmartPics organization. Start by creating a collection for one of your current clients.
To create a collection:
- From the home screen, tap "New Collection"
- Name it after your client (e.g., "Sarah - Hair Color")
- Add a brief description if needed
- Tap "Create"
Pro tip: Use a naming convention that works for your business, such as "Client Name - Service Type" or "Client Name - Date" to keep everything organized.
Step 3: Add Your First Images and Notes
Now it's time to populate your collection with photos and important information.
Adding images:
- Open your new collection
- Tap "Add Image"
- Take a new photo or upload from your camera roll
- Add notes to the image with details like:
- Products used
- Procedures performed
- Client preferences
- Next appointment reminders
Why notes matter: SmartPics' AI search will index all your notes, making it easy to find specific information later (like "What color formula did I use for Sarah's highlights?").
Step 4: Pin Your Most Important Collections
For collections you access frequently, use the pin feature for instant access from your home screen.
To pin a collection:
- Open the collection you want to pin
- Tap the pin icon in the top right corner
- The collection will now appear in your "Pinned Collections" on the home screen
What to pin:
- Your most frequent clients
- Product reference collections
- Inspiration galleries you use often
- Procedure templates
Step 5: Set Up Your Reference Collections
Beyond client collections, create reference collections that will make your daily work more efficient.
Essential reference collections to create:
Products Collection:
- Photos of products you use regularly
- Notes about application techniques
- Product recommendations for different client types
Inspiration Collection:
- Reference photos clients might be interested in
- Trending styles in your industry
- Before/after examples of your best work
Procedures Collection:
- Step-by-step photos of your processes
- Timing notes and tips
- Equipment and supply lists

Use the Search Feature
The search bar in the top right corner is incredibly powerful. It searches:
- Collection names
- Image notes
- AI-generated keywords from your photos
Explore the AI Image Search
Every photo you upload is automatically analyzed by AI, extracting keywords you can search for later. This means you can find images even if you didn't add specific notes.
Try Different Themes
In Settings, you can change your app theme to match your personal style and brand aesthetic.
